Information you give us

We collect your name, mobile number, email address (optional when you choose text-only receipts), and optional health fund name and member number. We also keep your treatment, appointment date and time, price, booking source, booking status, receipt preference, and the payment method and payment status recorded by staff. Authorised clinic staff may import these details from CSV exports. Imports retain necessary appointment and patient identifiers for matching, but raw CSV files are not retained.

This app does not process card payments or collect card details, clinical notes, date of birth, medical histories or consent forms. Payment is made at the clinic; recording a payment method here does not take a payment.

Bookings, reminders and receipts

Your details are used to arrange and manage appointments, send booking confirmations and a day-before SMS reminder, and prepare receipts. Receipts are delivered by email, SMS or both according to your requested preference. Contact details and the information needed for each message are passed through Foundry’s email and SMS services to deliver it.

Storage and access

Booking and receipt records are stored in the app’s Postgres database on Foundry in Australia. Staff must sign in through Foundry and be authorised to enter the practice workspace. Clients do not need an account to book.

A private booking code gives access to manage that booking, and a private receipt link gives access to that receipt. Treat both like a key: anyone with the code or link may be able to access the associated information. Keep them private and contact the clinic if one is shared accidentally.

Cookies and website services

This app uses Foundry SDK/session cookies for staff sign-in and a language cookie to remember your English or Mandarin choice. Blocking these cookies can prevent sign-in or stop your language choice being remembered. This app has no third-party analytics or advertising trackers and no Cliniko, Google Analytics, Google Ads or Tilda integration. Cliniko CSV import is manual, not a direct connection. Personal tour/coach preferences are stored for the signed-in staff account; the coach checks setup and aggregate receipt status without AI or browsing tracking. Its interface is built with Next.js and hosted on Foundry; the named services in the clinic policy below refer to the clinic and its main website, not this app.
